Automate and Optimise Your Schedule
Table of Contents
Once your shift template is created, you do not need to build everything manually. Cirrus Calm gives you tools to speed things up, fix gaps, and keep your schedule balanced. These tools live in the Actions menu.
Why use automation
Manual scheduling takes time and often leads to gaps.
Automation helps you:
- Fill schedules faster
- Balance workload across your team
- Reduce repetitive tasks
- Keep staffing aligned to demand
Used properly, this saves hours every week.
Automatically fill your schedule
This is the fastest way to build a working schedule.
It uses:
- Staffing templates
- Employee availability
- Skills
- Skill priority
How to use automatic scheduling

- Open your Shift Template
- Go to Actions
- Click Automatically fill
- Select:
- Days
- Employees
- Skills
- Click Fill

The system will:
- Fill required skills first based on staffing templates
- Use priority to decide what gets filled first
- Assign remaining time to other available skills
When to use it
- Building a new schedule
- Filling gaps after manual changes
- Large teams with complex demand
Apply bulk changes
Bulk changes let you update multiple employees at once. Use this when you need to apply the same change across your team.
How to apply a bulk change
- Open your Shift Template
- Go to Actions
- Click ‘Generate changes’
- Select:
- Days
- Time range
- Skill
- Employees
- Apply the change
When to use it
- Assign standard shifts
- Roll out temporary changes
- Fix gaps quickly
Generate breaks automatically
You can assign breaks across your schedule in one action.
Before you start
Breaks must be set up first:
- Create break skills
- Configure break times in settings

How to generate breaks
- Open your Shift Template
- Go to Actions
- Click Generate breaks
The system will:
- Distribute breaks across employees
- Respect working hours
- Avoid overlapping where possible
When to use it
- After building your schedule
- When adjusting large groups
- To standardise break patterns
Copy a full day
If your schedule repeats across days, do not rebuild it.
How to copy a day
- Open your Shift Template
- Go to Actions
- Click Copy day
- Select:
- Source day
- Target days
- Apply
When to use it
- Repeating weekly patterns
- Standard shift structures
View employees by role
This gives you a different view of your schedule.
Instead of seeing employees first, you see skills first.
Why use this view
- Spot gaps in coverage
- Check staffing by skill
- Validate demand vs supply
How these tools work together
Use them in this order for best results:
- Start with automatic scheduling
- Use bulk changes to adjust
- Generate breaks
- Use copy day for repetition
- Check using employees by skill
Important to know
- Automation follows your staffing templates
- Priority settings affect results
- You can always override manually
Automation helps, but you are still in control.
Common mistakes
- Using automation without staffing templates. Results will not reflect real demand.
- Overwriting good schedules with bulk changes. Always double-check before applying.
- Ignoring skill priority. Leads to the wrong work being filled first.
Best practice
- Let the system do the heavy lifting
- Use bulk changes for consistency
- Keep staffing templates accurate
- Review results before publishing
