The staffing view shows how your current schedule compares to demand. It focuses on today and highlights where you are over or understaffed.

What is the staffing overview

The staffing view shows, per skill:

  • How many employees are scheduled
  • How many are needed based on your staffing template

It is similar to your staffing template, but applied to the live schedule.

Why use staffing overview

Use it to answer one question: Do we have enough people right now?

It helps you:

  • Spot gaps quickly
  • Fix understaffing
  • Avoid overstaffing
  • Stay aligned to demand

How the view works

Each cell shows staffing for a skill at a specific time. Colours and indicators tell you what is happening.

Green cell

  • Staffing is at or above the minimum
  • No action needed

Red cell with upward arrow

  • Not enough people are scheduled
  • Example: ↑ 4 means you need 4 more employees

👉 Action: Add or move employees

Switch between days

Use the day tabs: Monday to Friday

This lets you quickly check staffing across the week.

Make changes from this view

You can adjust staffing directly.

At the bottom of the screen, use paint mode:

  • Select a skill
  • Drag across time blocks
  • Add or adjust staffing

This lets you fix gaps without switching views.

When to use it

Use staffing overview:

  • During the day to fix gaps
  • After schedule changes
  • Before the day starts to prepare

Important to know

  • This view depends on your staffing template
  • If demand is wrong, this view will be wrong
  • It reflects the current schedule only

Common mistakes

  1. Ignoring red cells. These highlight real risk to service levels.
  2. Overstaffing low priority work. Green does not always mean optimal.
  3. Not checking other days. Issues often repeat across the week.

Best practice

  • Check this view regularly
  • Focus on red cells first
  • Use it after every major change
  • Keep staffing templates accurate
