How to Make Schedule Changes
The schedule is built to change. No plan survives the day as expected. People call in sick, demand shifts, and priorities change.
This is where you fix it.
When to use schedule changes
Use the schedule to:
- Adjust shifts on the day
- Handle absence
- Move people between tasks
- Fill gaps quickly
If the change is temporary, do it here.
If it keeps happening, fix the shift template instead.
How schedule changes work
The schedule uses a paint-style interaction. You:
- Select a skill
- Drag across time blocks
- Apply the change instantly
Simple and fast.
Add or change a shift
- Select a skill
- Click and drag across the time blocks
- The new skill is applied
This can:
- Add new work
- Replace existing work
- Extend a shift
Edit an existing shift
You can adjust shifts in a few ways:
- Drag the edges to change start or end time
- Drag the whole shift to another employee
- Right click to change the skill
Use whatever is quickest for the change you need.
Remove a shift
To clear time, you can either use the 1) paint style, or 2) clear the shift.
Paint Style
- Select ‘Free’ from the role drop-down list
- Drag across the employee in the time allocation required.
Clear Shift
- Right-click on a skill within an employee's shift
- Select ‘Clear Shift’

Update work location
Click the location icon next to the employee name.

Switch between:
- Home
- Office
- Other

Work across the day
Use the timeline to:
- Focus on specific hours
- Zoom into busy periods
- Make quick adjustments where needed
You do not need to rebuild the full day.
Check coverage after changes
After making changes, always check:
- Are critical skills still covered
- Have you created a gap somewhere else
- Is staffing still balanced
Use Employees by skill or Staffing view to confirm.
Important to know
- Changes apply immediately
- They do not update the shift template
- You can override most rules if needed
This gives flexibility, but it also means mistakes are easy to make.
Common mistakes
- Fixing the same issue every day. Move it back into the shift template.
- Breaking coverage while fixing one problem. Always check the full schedule after changes.
- Assigning the wrong skill. Make sure the employee is trained for it.

- Fix the problem, not the whole schedule
