Day notes let you add context to your schedule.

They explain what is happening on a specific day so your team is not left guessing.

Why use day notes

Schedules show what people are doing.

Day notes explain why.

Use them to:

  • Highlight important events
  • Flag expected busy periods
  • Share operational updates
  • Give context to changes

This reduces confusion and repeat questions.

Add a day note

Follow these steps:

  1. Go to Schedule
  2. Select the day
  3. Click the actions button
  4. Click ‘Write day note’
  5. Enter your message
  6. Choose if the note is recurring or aimed at specific employees
  7. Save

The note is now visible for that day.

What to include

Keep it short and useful.

Good examples:

  • “High call volume expected due to campaign launch”
  • “Team meeting at 10:00”
  • “Reduced staffing due to training”

Avoid long or vague notes.

Use recurring notes

If the same message applies regularly:

  • Reuse the same note
  • Apply it across multiple days

This keeps your schedule consistent.

When to use day notes

Use them when something affects the whole team.

Do not use them for:

  • Individual changes
  • One person updates
  • Detailed instructions

Keep them high-level.

Important to know

  • Day notes are visible to anyone viewing the schedule
  • They do not affect scheduling
  • They are for communication only
